What are eQuotes?

eQuotes can be created by buyers when they want to request a price quotation, and can be raised for both items which are in your catalogue and those that are not (i.e. free text items).

How will I receive eQuotes?

When a quote is submitted, a notification email will be sent to the email address set up on your account. You can view and amend this through the My Profile tab (My Profile > My Profile > Email Preferences):

How do I view my eQuotes?

eQuotes can be accessed by selecting the Quotes tab on the left navigation menu.

Any eQuotes which have not been responded to will have a status of 'Posted'.

Responding to eQuotes

To view the details of the quote click on the quote number in the first column. Once reviewed, you can provide a response to their request for either the entire quote or an individual line.

  • Responding to all lines on the quote

Click 'Add Response' in the top right hand corner of the page

  • Responding to specific lines

Click the radio button on the relevant line and then click ‘Add Response for selected items’ below the item lines

What information must I enter on a response?

You must provide the following information in the top right hand corner of the page:

  • Response expires: The expiry date for the quote. After this date, the user will not be able to add the quote to their basket
  • Buyer must accept all or none: Tick this box if you require the buyer to accept all or none of the quoted lines. Leave this unticked if they can pick and choose (if applicable where there are multiple product lines on the quote)

On the response line you can also enter or amend the following fields if needed:

  • Manufacturer part number
  • Supplier part number
  • Product Name
  • Quantity
  • Unit of Measure
  • Requested unit price
  • Add an attachment
  • Comments

Upon adding your response, a response line will be created beneath the item lines:

Adding delivery charges

If delivery charges are applicable these should be added as a response line on the eQuote.

A delivery address will be provided by the user on each eQuote to assist in deciding if a delivery charge is applicable (this can be found in the bottom right hand corner).

It is suggested that a delivery charge is added as a separate response line on the same quote. To do this click 'add response' again and enter the details for the delivery charge:

Posting the response

Once response lines have been added to the eQuote you will need to post the response back to the end user. To do this click Post Response:

Once the response has been posted the status will change to 'Response'.

The end user will be able to add the response to their basket and send it as they would a normal order.
