Supplier: How do I edit my product data?

The system allows you to edit products both individually and in bulk depending on your requirements. This guide covers how to amend product data (i.e. long descriptions, UNSPSC codes, images). For instructions on how to update pricing, please click here.

If you need to amend a Catalogue Number, this isn't possible via the supplier portal. Please contact Customer Support to request the change, providing the current catalogue number(s) and the corresponding new catalogue number(s) in an excel spreadsheet and we will ensure this is updated on your behalf whilst maintaining historical spend data, and product visibility.

How to edit individual products

You can edit individual product data by entering the item details in the search bar at the top of the supplier portal.

Please note that documents (e.g. pdf sheets) cannot be added or amended via this method. Please follow the instructions for editing multiple products below instead.
  1. Search for the catalogue number, manufacturer part no. or key word of the product you are looking to amend
  2. From the search results page, select an item to edit:
  1. From the individual product's page, click the Edit Product button on the top right hand side
  2. Make the required changes (or add any additional data points), and then select Update to save the changes you have made.

How to edit product data for multiple products

The system allows you to upload partial product or price files – leaving the remaining items in the catalogue untouched. The system will only update what is present in the upload templates. This means you are not required to upload your entire product data file in full again if you just need to amend a sub-set of products e.g. their description or pack size. Although some suppliers prefer to reload the full catalogue file again, it is not necessary.

This also means that any items not present in the product data template will not be removed from the catalogue. For guidance on how to delete items from the system please review the How to delete products page.

Please note that it is best practice to save your file uploads for future reference

To update existing item’s product data you will need a blank data template:

  1. It is recommended to take an export of your existing catalogue data and use that to populate the data template (guide linked here). This is also useful if you make a mistake and need to roll the data back to what it was before you incorrectly updated it.
  2. Download the relevant Data Template from the Catalogue Management tab, and fill in the yellow mandatory fields, as well as any other non-mandatory fields you wish to update or amend e.g. the ‘Image 1’ field.
  3. Remove any unpopulated non-mandatory fields where you don’t wish to overwrite the data that’s already been uploaded. If any blank non-mandatory fields are left in the data template and are successfully uploaded they will overwrite and so blank the existing data.
  4. Save the file as either .xlsx, .xls or .csv
  5. Go to the Catalogue Management tab and select Upload, and then Products
  6. Click “Choose a file” to point to the location of your saved file
  7. Choose if either of the 'Options' boxes need ticking (e.g. if eClass codes are provided and need verifying or if you are providing image URLs)
  8. Use the "Contacts" and "Notes" tabs to add any further required information regarding the upload if required
  9. Click Submit
  10. You can view your upload within the same Catalogue Management interface, listed at the top unless someone else within your organisation has also uploaded a file at the same time
  11. Once the upload has finished click View on the upload to view the full report.
