Getting started: guidance for new Trader suppliers

If you have received your first buyer connection request, welcome! The supplier portal should now be fully available to you, which means you can begin uploading your product and pricing data so that your catalogue can be made live on the relevant Purchasing marketplace(s). 

Your profile pages (your original log-in view), are now available via the My Profile tab on the left hand side of the portal.

In order for end-users at the buyer(s) who have connected with you to be able to view and purchase your products, you will need to upload your data using our excel templates.

  1. LOAD YOUR PRODUCTS

Download the standard excel data template from the Catalogue Management tab > Upload > Products, and complete the mandatory seven yellow columns (such as catalogue number, pack size etc.) as a minimum. Use the same tab to upload your product data onto the system.

Please note that if you are connecting with an NHS trust, you will also need to complete the eClass column in the product data template as a mandatory, and please ensure you tick the 'eClass verified' option box before submitting the file

  1. LOAD YOUR PRICING

Using the Catalogue Management tab > Upload > Pricing, download your pricing spreadsheet and complete. Please note there is no requirement to include the £ or € symbol and if you do not wish to load a list price, please just delete this column. Use the same tab to upload your pricing.

  1. COMPLETE THE APPROVAL PROCESS

Once your price file has been loaded, you will need to go to the Price Approval tab to complete the 1st stage of the approvals process (please note you will be notified when this returns back from the buyer(s) and you need to complete the 3rd and final stage).
